Open the Tenancy Manager by clicking on the profile icon in the top-right of the interface and then the Tenancy Manager option in the list:

Case Attributes
Case attributes are metadata associated with a case folder, and are displayed in columns in the case browser with associated filters:

Case attributes can be:
- Text (any combination of letters, numbers and symbols), e.g., 123-ABC456
- Number (just numbers), e.g., 2025
- Date (selected from a calendar), e.g., 01/01/2025
- User (from the organisation), e.g., first.last@agency.gov
- Selection (dropdown options)
When a case is created, the creator is presented with a form containing with the configured case attributes:

The attribute columns and new case form that are displayed in the case browser are based on view profiles (see the next section in this article).
By default, there are two case attribute - an “Agency” selection and an ID#. The ID# is uniquely composed at the time of case creation. The ID# appears in this format: D-0708-1123-2025-13.
ID#s can be useful as a unique identifier for cases. D-0708-1123-2025-13 decodes to:
0708 - month and date (8th of July)
1123 - time (11:23am)
2025 - year
13 - random number (in case two cases are created at the same time!)
The ID and Agency case attributes cannot be removed. If you want to repurpose Agency, you can rename it. If you want to hide both from view, exclude them from your view profiles (see below).
Managing Case Attributes
Case attributes are managed as a Tenancy Policy. Click on Manage attributes to open the attribute interface.
To add a new case attribute, click on the New button. Choose the attribute type, then nominate a display name. The display name of an attribute is the name that appears in the column titles, filters, and case creation window:


Selection attributes will appear as a list, in the same order as they are specified in the configuration. Drag the ⋮⋮ button to reorder the list:

Choose whether the attribute is required and also whether it is included in email notifications. DekkoSecure does not recommend enabling attribute display in email notifications if the attribute content may contain sensitive information.
To finalise, click on Create. You can update attributes at any time. Always refresh the page after making changes to see the latest update!
If you make an attribute after a case is created, the attribute will be empty for old cases.
To update an attribute on an existing case, select it, then click on Update attributes in the ⋯ More dropdown:

Content Tags
Content tags are metadata associated with a files and folders that uploaded in to case folders, and are displayed in columns in the content browser with associated filters:

Content tags can be:
- Text (any combination of letters, numbers and symbols), e.g., 123-ABC456
- Number (just numbers), e.g., 2025
- Date (selected from a calendar), e.g., 01/01/2025
- User (from the organisation), e.g., first.last@agency.gov
- Selection (dropdown options)
- Format (automatically detected) e.g., .mp4 = Video
When a case is created, the uploader is presented with a form containing with the configured case attributes:

The attributes that are displayed in the case browser (and content browser) are based on view profiles (see the next section in this article).
Managing Content Tags
Content attributes are managed as a Tenancy Policy. Click on Manage tags to open the attribute interface.
To add a new content attribute, click on the New button. Choose the attribute type, then nominate a display name. The display name of a tag is the name that appears in the column titles, filters, and content upload window:


Selection tags will appear as a list, in the same order as they are specified in the configuration. Drag the ⋮⋮ button to reorder the list. Next, Choose whether the tag is required and also whether it is included in email notifications. DekkoSecure does not recommend enabling attribute display in email notifications if the attribute content may contain sensitive information.

View Profiles
View profiles allows users in your organisation to choose which case attributes and content tags are displayed in the application interface:

View profiles are managed as a Tenancy Policy. Click on Manage profiles to open the profile interface.
To create a new profile, click on Add.
The Profile name is the text that is displayed in the selection element for the profile:

The attribute and tag items that are checked will be show when the view profile is selected by a user. The listing order also controls the attribute/tag column order:

Drag the ⋮⋮ button to reorder the list.
Case attributes and content tags that are configured as Required cannot be hidden in a view profile.
